A System Overhaul for Women's Wellbeing Association (2022–2024)
Project context: A need for more volunteers & event attendees
The Women's Wellbeing Association (WWA), a dedicated non-profit with a 20+ year legacy, was facing dropping volunteer numbers due to the frustrating nature of disconnected systems. Systems that were making difficult for attendees to register their attendance for events. The organization was struggling with inefficient internal systems and a fragmented approach to communication that led to wasted volunteer time and unnecessary annual costs.
Upon stepping into the role of President, Bex Smith recognized the urgent need for strategic reform. Her vision was to establish a sustainable, professional foundation for the WWA's next chapter of growth. She specifically engaged me to audit and overhaul these operational systems, reduce annual expenditure, and revitalize community engagement to sustainably boost volunteer numbers and attendance rates across key events, particularly the annual Every Woman Gathering.
The support provided
This multi-year project involved a strategic system overhaul that delivered three consecutive years of improved results for the WWA. Key actions included:

1. Strategic Branding
Working with the President to anchor all external materials to the WWA's core ethos, creating a unified, professional voice across all correspondence, social media, and event marketing.

2. System Consolidation For Expense Reduction
Migrating the volunteer committee to Google Workspace, eliminating the annual cost of Dropbox, and creating a new Wix website that removed the need for a separate, expensive booking system.
3. Marketing & Growth
Managing and executing the specialised marketing campaigns for the Every Woman Gathering (EWG) for three consecutive years. This directly resulted in improved attendance figures for all three consecutive EWGs.

4. Operational Stability
Simplifying community contact points by implementing easy-to-use expression of interest forms on the new website for volunteers and hosts, and detailing operational procedures for all committee roles to ensure clear, seamless handover for future members.

Sustained Attendance Growth & ROI: The specialized marketing campaigns and system cohesion resulted in improved attendance figures for three consecutive annual Every Woman Gatherings (EWG).

Significant Cost Elimination: Annual fees for both Dropbox and separate external booking systems were eliminated, resolving fragmentation and achieving substantial annual cost savings through consolidation into Google Workspace and the new Wix platform.

Operational Sustainability: Detailed procedures and implemented systems (Mailchimp, Google Workspace) established a reliable foundation that continues to be used effectively by subsequent committees, ensuring long-term operational success and stability.

Community Growth: New WWA Women's Circles were initiated as a direct result of the volunteer and host expression of interest forms created on the new website, demonstrating successful community engagement.
